Smart Slot Suggestions

Smart Slot Suggestions help you find the best times for your events by analyzing your connected calendars and applying your preferences. Instead of manually scanning your schedule, let WhenToMeet suggest optimal time slots.

How to use it

  1. Open the Slot Suggestions panel when creating or editing an event (click the sparkles button or use the keyboard shortcut)
  2. Configure your constraints — days, time preferences, date range
  3. Click Generate to get personalized suggestions
  4. Review the suggestions and add the ones you like to your event

Constraints

You can fine-tune suggestions with several filters:

  • Days of the week — Select which days to include (e.g., weekdays only, weekends only, or specific days)
  • Time preference — Choose between Business Hours (9–5), After Hours (5–9 PM), or Any Time
  • Date range — Set the search window with quick presets like "Next 2 Weeks" or "Next Month"
  • Exclude blocked times — When enabled, slots that conflict with your calendar events are filtered out

Confidence scores

Each suggested slot gets a confidence score (0–100%) based on how well it fits your schedule:

  • High confidence (80–100%) — Well-separated from existing meetings, minimal conflict risk
  • Medium confidence (50–80%) — Some nearby events but no direct conflicts
  • Lower confidence — Close to existing meetings or in a busy part of your day

Prefer adjacent slots

Enable the "Prefer adjacent slots" toggle to keep your day compact. When turned on, the scoring is inverted — slots right next to your existing meetings score higher, while isolated time slots score lower.

This is useful when you want to:

  • Minimize idle gaps between meetings
  • Keep meetings clustered together
  • Preserve large blocks of uninterrupted focus time elsewhere in your day

How calendar data is used

If you have calendars connected, the system fetches your busy times and uses them to:

  • Avoid suggesting conflicting slots (when "Exclude blocked times" is on)
  • Score slots based on proximity to existing events
  • Provide more accurate confidence ratings

Without connected calendars, suggestions are based solely on your configured constraints (days, time windows, date range).
