Setting Your Availability
Your availability tells WhenToMeet when you can accept meetings. Each booking page and group has its own independent schedule — changes to one never affect any other.
- Every booking page and group starts with a blank schedule.
- Set weekly hours, apply presets, and add date exceptions per entity.
- Date exceptions let you block specific dates (vacations, holidays) so nobody books you when you are away.
Weekly schedule
Your weekly schedule defines recurring time windows for each day of the week.
- Open a booking page or group and click Edit availability.
- You will see a weekly calendar where you can set available hours for each day.
- Click and drag to create time slots, or click an existing slot to edit or remove it.
- Each day can have multiple time windows (e.g., morning and afternoon blocks with a lunch break).
Presets
Instead of building a schedule from scratch, pick a preset and adjust from there:
- Business Hours — Monday to Friday, 9 AM – 5 PM
- Morning — Monday to Friday, morning block only
- Afternoon — Monday to Friday, afternoon block only
- Evenings — Monday to Friday, evening block
After applying a preset you can tweak individual days to match your routine. You can also save your own custom presets for reuse across booking pages.
Date exceptions
Date exceptions override your weekly schedule on specific dates.
- Block a date — Mark a day as completely unavailable (vacation, holiday, personal day).
- Block specific hours — Block only part of a day instead of the whole day.
Exceptions take priority over your weekly schedule.
Per-entity availability
Every booking page and every group has its own separate availability schedule. There is no global schedule that cascades down — each entity is fully independent.

| Booking page | Open the booking page settings and click Edit availability on the availability card. |
| Group | Open the group settings and click Edit availability on the availability card. |
This means you can have completely different schedules for different booking pages or groups without worrying about one affecting another.
Tips
- Use presets to save time — apply a preset, then make small adjustments.
- Save custom presets — if you reuse the same schedule across multiple booking pages, save it as a preset.
- Keep exceptions up to date — add vacations and holidays ahead of time so nobody books you when you are away.
- Preview your availability — use the Preview tab in the editor to see how your schedule looks for the current week.
